A new approach to managing the Intervention Archives
Regulating the solicitors of England and Wales
The SRA is the regulator of solicitors in England and Wales. As a result of intervening in solicitors firms, they take possession of large numbers of documents relating to completed client matters. source worked with the SRA to carry out an independent review of their document archiving arrangements to improve value for money and enable performance improvements to benefit the SRA and ultimately the clients of intervened firms.
What we did
Source worked closely with a team of interventions, facilities and other subject matter experts from the SRA to evaluate alternative options for delivery of the intervention archives service. As part of this process we examined the internal function and the existing relationships with third party providers.
We engaged with a number of potential providers of document management services, running a process of close engagement and collaboration to produce fully costed options, in parallel with exploring options for improving the internal function. The end result was a move to a more strategic outsourced relationship with a new service provider. The new service is already delivering benefits beyond those anticipated in the business case.
What was different
source worked very closely with the existing teams to understand the historical sourcing strategy and decisions as part of a joined up and collaborative approach.
Following a proven approach we gathered the necessary cost, contractual and performance information, and created a model to compare the different options for delivery of the Intervention Archive services. Far from being an “apples with apples” comparison of commodity services we examined a variety of creative solutions and created a simple way of undertaking a fair comparison between them.
